Operation Administrator

FalconViz is seeking a dedicated and detail-oriented Operation Administrator to ensure seamless coordination of operational and administrative activities across the company. The ideal candidate will play a critical role in facilitating travel arrangements, managing company logistics, and supporting internal and external operations, including our FalconViz Academy and government relations.

This role is vital to maintaining the efficiency of our operations and requires a proactive individual with excellent organizational and multitasking skills, a commitment to accuracy, and a willingness to travel as needed across Saudi Arabia.

Tasks and Responsibilities

  • Travel and Logistics Coordination
    • Book and manage team travel arrangements for project missions within and outside Saudi Arabia, including flights, trains, hotels, and car shipping.
    • Process and oversee material, car, and personnel gate passes for FalconViz operations at KAUST headquarters.
  • Administrative Support
    • Organize and document company meetings, including scheduling and preparing meeting agendas, minutes, and follow-up tasks.
    • Manage meeting room bookings and ensure all necessary arrangements are in place.
    • Periodically visit FalconViz branches (Jeddah, Riyadh, Dammam, Soudah, Madina, Tabuk) to carry out operational administrative tasks.
  • FalconViz Academy Support
    • Assist in operational tasks for FalconViz Academy, such as printing and managing course certificates.
    • Coordinate with potential clients to promote and organize Academy courses.
    • Support Academy management with scheduling, logistics, and communication.
  • Government Relations
    • Assist management with interactions and processes involving government organizations and platforms.
    • Ensure compliance with regulatory requirements and provide support in handling necessary documentation.

Education and Professional Qualifications

  • Saudi national with strong organizational and multitasking abilities.
  • Bachelor’s degree or equivalent experience in Business Administration, Operations Management, or a related field.
  • Proficiency in Microsoft Office Suite and digital tools for travel and meeting coordination.
  • Strong communication and interpersonal skills for interacting with clients, team members, and government officials.
  • Willingness to travel periodically to various FalconViz branch locations in Saudi Arabia.
  • Prior experience in operations or administrative roles is an advantage.
